Getting Started with a Commercial Construction Project

A guide for first timers and veterans!

Embarking on a commercial construction project can be overwhelming, especially if it’s your first time managing such an endeavor. To help navigate the process, we’ve compiled answers to some frequently asked questions from clients just getting started.

1. What is the first step in starting a commercial construction project?

The first step is defining your project’s scope and objectives. This includes identifying the use of the building/build-out, desired features, budget, and timeline. Engaging a professional team early—such as an architect, contractor, or project manager—can help clarify these details and set a string foundation. This is especially helpful when selecting a parcel of land, answering questions such as “is the soil good”, “can I get utilities to the site easily”? These can be big costs.

2. How do I choose the right contractor?

Selecting the right contractor is key!  Start by:

  • Researching: Look for contractors with experience in projects similar to yours.
  • Checking credentials: Verify licenses, insurance, and certifications.
  • Requesting references: Speak with past clients about their experience.
  • Reviewing proposals: Compare costs, timelines, and approaches to your project. Being able to build a solid relationship with your contractor ensures open communication and smooth execution. Is this someone I want to work with through the duration of my project?

3. What permits or approvals do I need?

Every project requires permits and approvals, which vary depending on the location and type of project. Common permits include zoning, building, electrical, and plumbing. Good contractors can guide you through the permitting process to ensure compliance with the local jurisdiction.

4. Estimate- what will my project cost?

The cost of a commercial construction project depends on factors like size, location, materials, and labor. To get an accurate estimate:

  • Consult professionals: Your contractor can provide detailed cost breakdowns, with accuracy depending on how developed the construction drawings are at the time.
  • Budget for contingencies: Set aside 10-20% of your budget for unexpected expenses.
  • Consider lifecycle costs: Think beyond initial construction to include maintenance and operational expenses.

5. How long does the construction process take?

Project timelines vary based on size and complexity. Small projects may take a few months, while larger developments can span a year or more. Regular communication with your contractor and project manager will keep timelines on track.

6. What role do I play during construction?

As the client, you are an essential part of the team. Your responsibilities include:

  • Providing input: Ensure your vision is accurately reflected.
  • Making timely decisions: Avoid delays by promptly addressing questions or approvals.
  • Monitoring progress: Stay updated through regular meetings and reports. A proactive approach helps maintain alignment between your goals and the project’s execution.

7. How do I ensure quality and safety?

Quality and safety should be prioritized by your contractor from the start.  The site superintendent and project manager will establish clear quality standards, and insist on regular site inspections. Additionally, they will follow all safety regulations and maintain a safe and secure worksite.

8. What happens after construction is complete?

Once construction is finished, you’ll transition into the final steps:

  • Inspections and approvals: Complete all required inspections and obtain a Certificate of Occupancy
  • Handover process: Receive documentation in the form of a close out manual containing warranties, and training for building systems.
  • Move-in and operations: Prepare for occupancy and ongoing maintenance.

Final Thoughts

Starting a commercial construction project is a big undertaking, but with careful planning and the right team, it can be a rewarding (and fun) experience. Don’t hesitate to ask questions and lean on the expertise of professionals to guide you every step of the way.
